CONCEPT/PROGRAM DEVELOPMENT
The first step in defining a program is a meeting between Milestone Events and you to detail the overall purpose of the program and of course, the budget. From that point we can start discussing possible locations, the number of days, the types of activities you are interested in having, number of people, type of people, the level of support you need, etc. At that meeting, our number one priority is to listen. We never lose sight of the fact that this is your event and we are here to help you make it a tremendous success.
Once the parameters have been established, we can help you create the overall message and theme that best describes the ambience that you wish to convey with your event. We will make sure that every aspect of the program works towards that overall goal from the location to the activities to the final dinner.
ACCOMODATION RECOMMENDATIONS AND SUMMARY
We perform a complete analysis of the geographic areas that you are interested in and then provide you with an overview of each of the facilities that meet your criteria. Once you narrow the list, we perform site inspections, finalize the details and begin negotiating the contracts on your behalf.
PROGRAM SPECIFICATIONS
As you know, there are many details beyond the site selection that go into completely defining a program. Below is an overview of some of the areas that we can handle for you. Our goal is to make this event as "stress-free" as possible for you. We spent many years on the corporate side and know from first hand experience how much easier it is to work with a single point of contact at the destination location. We took that concept one step further and Milestone Events can also handle the "pre-event" details for you as well such as all your graphic design and printing needs, mailings, pre-registration, airline reservations, etc.

LOGISTICS
Pre-event Registration
Milestone Events will setup a web-based online registration program for your attendees. This greatly simplifies the registration process and forms one database for attendee information.
Airfare Analysis
An airfare analysis is performed based on commercial airline rates. Once the contract is established, we will negotiate to obtain the best possible rate for your group.
Hosted Activities
Your hosted activities may consist of receptions, dinners, lunches, and breakfasts. Once a venue has been selected and contracts have been put in place, we will act on your behalf to obtain the best on-site function space available for your meals.
After this process is completed, you will receive menu selections, along with entertainment, floral and décor selections for each of your activities.

Themed Dinners
There will be a wide variety of themed dinners to select from based on the location and what they have to offer. Some examples include: Tropical theme, Rainforest theme, Pirates of the Caribbean theme, Sunset Dinner Cruise, etc.
On-site Support
Milestone Events will have staff members available throughout the venue to manage every aspect of the event.
Satellite Check-in
Milestone Events will physically inspect every room prior to the guests' arrival. From there, we will setup a private check-in area for participants and have their welcome packet and room keys available.
Transportation
There will be a host to greet participants in the baggage claim area. From there, we will assist with luggage and escort you to the hotel.
